Oversees all aspects of the Condominium Administration Department (CAD) including advancement in technology and improvements in standard operating procedures of the department.  Also functions as a property manager for condominium associations under management contract with Aqua-Aston Hospitality, LLC.  Position provides full administrative and financial oversight for condominium association which includes all aspects of condominium association operations.  Works with Operations (OPS) & Development (DEV) to seek new contracts.

Job Responsibilities: 

Maximum of ten responsibilities, in order of percentage of time spent on functions from longest to shortest; do not list anything that does not represent at least 10% of the job’s time.  Please include supervisory responsibilities.

  • Strives for improvement in the overall operation of the department, including changes to policies & procedures and improvements in technology.
  • Maintain organization in CAD including but not limited to soft copy storage of administrative and financial records for each Association.
  • Maintain consistency in all AOAOs where possible.
  • Prepare and ensure compliance to the CAD Corporate budget.
  • Oversee all areas of management & administration of the AOAO properties assigned.
  • Review and approve invoices, as requested.  Review and finalize monthly financial reports.  Final review of year end audits.
  • Prepare and finalize with onsite management assistance budgets for presentation to the Boards.
  • Reserve Studies
  • Prepare and finalize with onsite management assistance
  • If study being performed by outside vendor, review and finalize
  • Send to Board members.
  • Prepare agenda for Board meetings/attend meetings/complete minutes.
  • Handle all collection matters and coordinate with the Board if necessary.
  • Handle owners' inquires relative to all matters pertaining to the association.
  • Review and finalize all contracts and all leases of commercial or common areas.
  • Work with CAD administrator on all personnel issues.
  • Perform other duties as assigned.

Job Qualifications: 


  • Bachelor’s degree/diploma in business, accounting, administration or additional experience.


  • 10 or more years experience in property management. 
  • Proficient in Excel and Word

Licenses / Certifications

  • Active Real Estate License
  • Florida CAM License Community Association Institute
  • PCAM® Designation

  • Authority to hire or fire other employee, or make suggestions and recommendations as to the hiring, firing, advancement, promotion or any other change of status of other employees.

Discretion & Independent Judgment: 

  • Constantly reviews and improves all procedures of CAD and implements changes where necessary such as change to lock box system, change in use of forms, etc.
  • Manage associations that indirectly have an affect on Aston. 
  • Responsible for department procedures on employee procedures for handling books and administrative duties of the associations managed by Aston.
  • Can bind each of the association in matters that would have a significant effect on Aston, such as fee adjustment, accounting costs, etc.
  • Solely responsible for planning the goals and tasks for the department for improvements.  Develops ideas individually formulated or recommended by co-workers to change policies and procedures.
  • Acts as liaison for the company in all disputes for the individual associations managed by Aston.
  • Makes decisions for each association on their procedures and policies and all aspects of property management without direction or supervision.
