Position Reports to: Resort Manager, Assistant Resort Manager and Special Events Coordinator 

Job Summary:  Responsible for facilitation of all aspects of on-site activities, weddings, seminars, workshops, and member activities.  Coordinate with maintenance, housekeeping, and reservations to provide a successful outcome. Collect fees and confirm event dates with staff and guest. Attend to guests need in a professional manner with a high level of integrity and service. Provide general event support in planning, coordination and implementing evets, programs, and ceremonies as assigned, including resort wide special events.

Essential Duties and Responsibilities:

  • Responsible for supporting the Resort’s Events Coordinator with events, programs, and ceremonies.
  • Book/Tour all wedding parties/potentials
  • Prepare Wedding packets
  • Sign and organize Contracts/Agreements
  • Set-up and clean-up of weddings
  • Book Special Events
  • Make sure all events get paid for
  • Help with hunting
  • Decorating Main Lodge for Holidays
  • Kids Activities
  • Assist with the event websites, social media, phones and email conferences
  • Perform other job-related duties and special projects as assigned
  • Prepare layout diagrams, oversee setup and break-down
  • Processing special requests, interacting with clients, meeting and exceeding expectations
  • Resolve problems or issues and troubleshooting as needed
  • Schedules meetings, prepares agenda, takes notes prepares and distributes post-meeting reports
  • Follows up on action items
  •  Prepare event estimates and final sales

Personal Characteristics: High energy level with great communication skills.  Great time management.  Must be well organized with the ability to get along with diverse personalities.  Have the ability to deal professionally with other staff members, guests, board members and the public.
