Generic Position Summary

As a member of the professional staff, contributes specialized and technical knowledge and skill in a discipline (e.g. Accounting, Finance, Architecture & Construction, Information Resources, Operations Planning & Support, Sales & Marketing) area to support team and/or department business objectives. Generally, works under limited supervision, but within established guidelines, producing and analyzing more complex business information to assist in the decision-making process.

Specific Job Summary

The Resort Systems Project Manager (RSPM) is accountable for the effective management of various types of projects and tasks, including: existing property assessments, planning, design, procurement and construction management of, but not necessarily limited to, Low Voltage Infrastructure, Telecommunications / Voice Systems, Data / Wireless Networks, Audio / Visual Systems, TV / GRE, RFID / Security Systems, Villa / Building Energy Management Systems for new resort development, developer portfolio capital, villa refurbishment, sales centers and reserve projects for both developer-owned and COA-owned Capital Assets (Real Estate Fixed Assets) at each Resort Property, by using his/her experience and technical expertise, which at a minimum will include scheduling, planning, design, procurement, cost, contract and change order management, protocols, controls, procedures and processes

This position is responsible for managing and driving various resort systems and technology projects from strategic planning, business development through implementation and the project lifecycle into the sustainment and operation phase and will provide the necessary expertise and technical support in order to achieve the common business objectives on larger tasks and projects.  The RSPM is accountable to the Project Lead for delivering resort systems projects on schedule, within budget and in compliance with brand and technical standards and for developing and managing an overall project execution plan with a focus on problem avoidance, the delivery of cost-effective predictable results, and the marshalling of appropriate resources required to enable the achievement of MVW’s business goals and objectives.  He/she will handle all elements of resort systems and technology projects and activities within the larger development and/or project including but not limited to estimating, requirements planning, budgeting and forecasting, procuring, scheduling, vendor engagement, progress reporting, technical testing, acceptance and certification, delivery, documentation and presentations to leadership and periodic meetings with stakeholders.  He/she will work under limited supervision in the field, but within established guidelines and standards and will provide regular report up through the A&C Senior Project Manager, Director or Senior Regional Director (Project Lead) so as to regularly communicate the status of all projects.  Further, this role is responsible for consulting, engaging and partnering with several critical intra-organizational departments, namely: Information Technology, Sales & Marketing, Resort Planning and Field Operations Teams, etc. at all appropriate and necessary touch points throughout the project’s lifecycle.

As well as undertaking project supervision, project monitoring and reporting the role will also require the procurement of smaller contractor and vendor packages through the standard competitive RFP and evaluation process. Additionally, project control and full adherence to design/technical corporate standards/Brand Standards, within budgetary and schedule constraints will need to be fulfilled.

Specific Expected Contributions

  • Leads, plans, directs, tracks and monitors all aspects of project delivery activities for technology and resort systems in accordance with approved brand and technical standards and current RACI, Ball-in-Court and Purchasing matrices. 
  • Provides vendor selection, vendor relationship management and contract negotiation and oversight.
  • Hosts and/or attends regular project meetings, establishing and maintaining parameters for task and milestone accomplishments, defining project success/failure criteria, and establishing vendor responsibilities within project scope. 
  • Provides routine project status updates, to include completed and upcoming tasks, milestones, risks, and issues.
  • Maintains all Contractor and Vendor adherence to corporate safety protocols and brand standards.
  • Undertakes daily project supervision, project controls reporting up to the Project Lead.
  • Solves day-to-day field construction issues on less complex matters limited to moderate risk items. 
  • Responsible for his / her own work and contributing to team, department and/or business results. May direct work of non-management staff.
  • Produces discipline specific schedules to be incorporated into master project timeline and monitors / managers adherence to the set timelines.
  • Liaises and engages other interdepartmental business partners to ensure timely outside and/or independent contractor and vendor appointment(s) and mobilization to ensure testing, commissioning, certification and training ahead of operations startup and guest occupancy.
  • Initiates, develops and maintains consultant inspection and retains ownership of a working document log and hence manage the inspections of all key elements of the resort facilities.
  • Builds and maintains a contractor data base for his / her region and in so doing contributes to the nation vendor / contractor database.
  • Manages any change orders that may be produced, ensuring careful cost logging and owns the responsibility for deviation from specification by way of a detailed change order log system.
  • Plan, coordinate, direct and supervise contractors, subcontractors, and vendors engaged on projects ensuring full field compliance and adherence to brand and technical standards and specification.
  • Establish and maintain project and short-term schedules.
  • Identify and establish resource requirements to accomplish a given project.
  • Maintain Owner, Architect, Subcontractor and Vendor relations.
  • Set-up and maintain regional contractor and vendor database
  • Maintain General Contract and Subcontract Documents including AIA progress payment documentation
  • Maintain Quality Assurance and Control.
  • Follow installation best practices / delivery methods of systems deployment.
  • Review shop drawings and specifications, provide field observation reports, respond to RFI’s, attend site construction meetings (as directed).
  • Establish and monitor administrative procedures for the project.
  • Keep informed on requirements for Insurance, Safety, and associated compliances, etc.
  • Ensure vendor applications for payment and collection are properly disbursed.
  • Keep Project Lead informed on progress of project and budget.
  • Perform other duties and take on other responsibilities as required.
  • Assist in the pre-construction for projects.
  • Carry out and document post project reviews.
  • Manage self-perform/direct work on projects.
  • Complete and implement smaller cost data sheets / Bill of Quantities reconciliation against reserve budgets allocated by the Project Lead.
  • Provide “Best Practices” and “Lessons Learned” input and recommendations in developing and updating technology advancements and standards.
  • Produce and maintain detailed Technical Standards/Modules aligned with Information Technology’s Brand and Operating Standards.

Generic Candidate Profile

Successful candidates should possess technical knowledge and relevant experience specific to this discipline and area of expertise and demonstrate strong leadership and relationship skills.  College degree and/or relevant experience typically required.

Specific Candidate Profile

  • Four-year college degree preferred.
  • Minimum of 5 year’s experience in technology design for new buildings, restoration and renovation projects in large enterprise.  Experience in the design of voice/data infrastructure, structured cabling, system technologies, telecommunication equipment, audio visual systems & electronic security systems within the hospitality sector preferred.
  • Ability to multi-task several (3-6) large projects per year.
  • Thorough knowledge of construction cost, scheduling, estimating and engineering principals and techniques, as well as accounting principles.  Familiar with various construction methods and materials, their characteristics, installation procedures and tolerances.
  • Strong computer skills and familiarity with Microsoft Office applications.  Knowledge of Gantt Project software, either Primavera or Microsoft Project.
  • Very strong English oral and written communication skills are a must.
  • Effective interpersonal and communication skills within a project management team-based environment.
  • Experience in working with Designers and Project Managers and the ability to understand architectural/ interior design drawings and supplier engineering drawings.
  • Ability to work with or without direct supervision, and if required, work overtime, nights and weekends to ensure timely project completion.
  • Ability to travel to various locations both domestically and internationally.
