Provide information and assistance to resort owners and guests. 

Part-Time Position: Thursday - Saturday



Essential Duties and Responsibilities

Essential and other important responsibilities and duties may include, but are not limited to the following:

  • Greet and register guests.  Provide written and oral instruction during registration to assist guests during their stay.
  • Correctly identify the guest source and assign the unit accordingly.
  • Prepare folio statement for departing guests.  Ensure proper funds received for stay and return of all resort property.
  • Answer inquires pertaining to resort services and local services.  Requires general knowledge of the area including local dining, shopping, and entertainment accommodations.
  • Maintain front desk logs to track keys used on the property.
  • Route all incoming calls to guests and resort departments/individuals.
  • Make reservations for walk-in guests and Bonus Time requests.  Confirm with guests the collection and posting of advance deposits.
  • Confirm arrivals and departures.  Confirm cancellations and/or change confirmed rental reservations as needed.
  • Post folio charges for miscellaneous charges.
  • Adjust folio charges as authorized by management.
  • Prepare shift work.  Balance cash at the beginning and end of the shift, prepare “drop” for deposit in safe, print EDC and shift work reports.
  • Act as liaison between guests and maintenance/housekeeping departments to accommodate requests.
  • Provide general information to owners regarding the reservation process, exchange process, and rental process.
  • Transfer ledger balances for all stayover reservations.
  • Verify all guest information from the registration card for accurate input in System 9900.
  • Prepare resort materials for distribution, i.e. welcome packages for new owners, registration packages for inbound arrivals, etc.
  • Observe and report any safety issues to the Safety Committee leader or Manager.

SUPERVISORY RESPONSIBILITIES

The position has no supervisory responsibilities.  The employee must be capable of working independently.

MINIMUM QUALIFICATIONS

  • Equivalent to completion of the twelfth grade with AA Degree preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of modern office practices, time management, and procedures; including business correspondence, record keeping, and filing systems, and office equipment.
  • Knowledge of the timeshare industry, with a concentration on Front Office operations.
  • Ability to perform complex Front Office tasks involving organization, the use of judgment and requiring accuracy and speed; maintain confidentiality; understand, interpret and apply appropriate rules, regulations, and written directions to specific situations; effectively meet and communicate with the public in situations requiring tact and poise; apply sound judgment in assignment workload priorities and in contacts with guests emotional situations; assume responsibility in recognizing scope of authority.
  • Ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities which include standing for extended periods of time; operating assigned office equipment; reaching with hand and arms, walking; stoop, kneel, crouch, or crawl; frequently lift and/or move up to 25 pounds; close vision, peripheral vision and ability to adjust focus.
  • Ability to communicate with and elicit cooperation from others and to assimilate and understand information, in a manner consistent with essential job functions.
  • Ability to make sound decisions in a manner consistent with the essential job functions.
  • Ability to develop clear and comprehensive correspondence.
  • Ability to use word processing, calendar scheduling; System 9900, and other required software applications on a personal computer.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to calculate figures and amounts such as discounts, interest commissions, percentages, and payment.  Ability to apply concepts of basic business math.
