Serves visitors by greeting, welcoming and directing them appropriately; notifies company personnel of visitors’ arrival; performs a variety of administrative functions and duties to assist with the daily operation of the office.

Position Responsibilities:

  • Welcomes visitors by greeting them in person or on the telephone, answering or referring inquiries.  Provides access to guests and vendors via front door and freight elevator.  Maintains security by following procedures, monitoring logbook; and issuing guest badges.  Log and process parking validation orders and completes monthly reconciliation of charge back to the various departments.  Updates welcome screen outside main door.  Response for answering THQ main office phone line and transferring calls to the appropriate individual/department.
  • Log and process all incoming deliveries; inform departments for retrieval.  Process outbound UPS airway bills every Monday and Wednesday along with special request as needed for neighbor islands and mainland.  Coordinates pick-up of outbound mail with Cardinal services.
  • Maintains safe and clean reception area and conference rooms - ensure cleanliness, equipment is stored etc.  Assists with conference room scheduling as needed.
  • Inventory and stock lunchroom/kitchen supplies and first aid kit.  Place orders as needed.
  • Maintain and distribute updated phone list for THQ and properties.
  • Serves as a liaison with building management for maintenance and service requests.  Responds to security alarm calls during office hours.
  • Assists various departments with clerical/administrative related duties as assigned.

Position Requirements:

  • Must be able to speak, read, write, understand English proficiently.
  • 1-2 years' experience in related field or area preferred. 
  • Excellent telephone skills, verbal communication, and has experience using basic Microsoft Office and computer.
  • Projects and applies professionalism, customer service skills, phone skills, is organized and ability to handle pressure.
